Note : Fields such as APGAR scores are not intended to be procured by the Doula. Such data should be obtained from the OB or Midwife and only recorded by the Doula for reference. This data is helpful when you use the Mobile Doula statistics feature to analyze improved outcomes of Doula care.


Client List

Below is the login and home screen of Mobile Doula. You can login to your account from ANY iPad, iPhone or Mac, anytime. The first time you login you must have a Wi-Fi connection. Thereafter no Wi-Fi connection is needed to use the app.

From here you can see all of your clients. Pregnant and postpartum clients are under the Pregnant and Postpartum tabs. Clients are listed by due date or infant age. Type one or more letters in the search box to find any client by name or record #.

Client Sign up

A client will be able to visit the client portal from any device to create their client record and sign your consent forms. Alternatively you create the record yourself and even hand them your device. Tap the "Add Client" button to see the welcome screen to the right. Tap the lock button to keep the client from exiting their record and viewing other client records.

Once the client taps the Start Here button they will be asked to take a picture of themselves.

Basic Information

After the client takes their picture they will fill out their basic information as seen in this picture (Click the screenshot to enlarge it). Once they are done they tap the "Next Step" button.

Once the client enters this information, their changes get automatically uploaded to the Mobile Doula servers and if there are other iPads, iPhones or Macs logged into your account they will automatically receive updates every few minutes.

The best part is that your data is actually on your Apple device, so if you do not have internet available at a home birth for instance, it will still work perfectly.

Current Pregnancy

Now the client will fill out information about their current pregnancy, any problems they are having, classes they have taken, classes they are planning to take. Then they will fill out the Labor, Birth and Postpartum preferences sections which gathers information such as how they want to deliver, what their child care plans are, relaxation techniques they prefer and who they want present during labor.

Note, when adding a new client through the client portal website or on the iPad the toolbar will show "Step 1 of 4", "Step 2 of 4" and so on. As the client fills out the forms they will press the "Next Step" button at the bottom of each screen.

Current Pregnancy Continued...

Here the client gets the opportunity to indicated their labor medical type preferences such as how they feel about pain and induction medications and various medical interventions.

Next is the Birth Preferences which allows the client to provide their plans and preferences of what will occur after the baby is born.

Past Pregnancies

This is where past pregnancies are entered. These past pregnancy forms can help a Doula discern how long a mother typically labors, what past complications she has had and any emotional trauma, anxiety or depression she may have endured. This information can help in choosing and refining the best relaxation techniques for the mom during her next labor.

Health and Lifestyle

Here the client will fill out a brief health history, medications, allergies, surgeries and life style details.

Keep in mind you can request the Mobile Doula support team to add or remove any fields you like. We can change almost anything on any form within minutes and have the change automatically pushed to your devices.

Summary

Now the client will be presented with a confirmation page where they will review all the information they entered and sign.

After signed, a copy of this summary page with the client's signature will be saved as a PDF and attached to this client record.

Document Signing

This is the last step of the sign up process. With this feature you can finally go totally paperless! The client will write their signature on your documents on the iPad itself using their finger or a stylus.

You can import any PDF you like into Mobile Doula as a template. You then drop check boxes, text boxes, signature and initial boxes in all applicable areas on the PDF document. Then anytime you create a new client, an instance of these documents will show up under their Documents tab as ready to sign.

Document Templates

With Mobile Doula you can go totally paperless because your clients are directed to sign all of your consent forms during the sign up process! Mobile Doula comes with a generic consent form to give you an idea of how it works. However you can import any document of your own choosing and make it interactive with check boxes, text boxes and signature boxes.

There are many ways to import a document. A PDF can be dropped on the Mobile Doula app from iTunes or Dropbox can be used. Most users however email the PDF to themselves and then open that email on their iPad. Then press & hold on the attachment and chose to open it in Mobile Doula. Then press "Add Document" on the toolbar from within the Documents or Templates tab and touch the name of the file that was just exported to Mobile Doula.

Creating a Template

Once a document is imported you can began dropping text boxes, check boxes and signature boxes anywhere to make the document interactive. Set the document to be a "Standard Document" and place it in the "Pregnant Client" category to have it automatically be added to each new client record during the sign up process.

100+ extra forms!

Mobile Doula has teamed up with Cheri Grant to provide you with the newly released 3rd edition of “Labor Support Forms”. However this edition is not just a book. We have integrated these time tested doula forms into our iPad app in an interactive way to help make your life paperless and organized. The Mobile Doula integration of the Labor Support Forms book includes everything you will need as a Doula, whether starting out or with decades of experience under your belt. This book includes countless forms many of which are already built into Mobile Doula as document templates that your clients can read and sign through the Mobile Doula Client Access portal. Prenatals

From the Prenatals tab you can record prenatal visits.

Note : Tapping the Show Details button will show all of the details for each prenatal visit instead of just the basic vitals.

Adding a Prenatal

The prenatal visit feature is very interactive and customizable. Within a prenatal much information can be recorded in a very organized manner. This includes inputing classes they just took, pregnancy symptoms they are experiencing and internal exam details if attending a prenatal with their primary care provider. And finally the Reminders feature and comments allow you to easily document what instruction, techniques or therapy you provided the client, and track any items that need to be completed such as having the client sign consent forms, return a book or make a payment.

Prenatal Reminders

Pressing the reminder icon will display the reminders. This is different from the tasks feature because it is a static list that is the same for every client. The reminder list can be changed under Settings->Reminders.

If a prenatal/postpartum visit is open and a reminder item is tapped then that reminder will be recorded under that visit. As a reminder item is tapped multiple times it will cycle through 4 different statuses of Performed, Discussed, Declined and N/A.

Adding ICD & CPT billing codes

By pressing the "add code" buttons next to either the "diagnoses codes" or "procedure codes" field a window will appear where you can either search the entire database of ICD or CPT codes or choose from your favorites list. Mobile Doula comes with a favorites list already set up for you however you can easily customize this list by navigating to the Settings->Custom Dx & CPT codes tab.

Appointment scheduling

An appointment can be placed on any Calendar that is configured on the iPad, such as iCloud, Google, Yahoo and Hotmail. Pressing the calendar icon while a prenatal/postpartum visit is open will cause all upcoming events from your Calendar(s) to appear. This keeps you from double-booking a time slot. Important information is placed in the calendar event such as the client's contact info, EDD and more.

Contacts Integration

Press the phone icon to add a client to your iCloud, Google, Yahoo or Hotmail contact list. Mobile Doula populates the contact record with the client's photo, phone numbers, EDD, email, address, partner name and more!

Choose "Map Client" and their home address will be located using Google maps.

Labor - Admissions

The Admissions tab is the first tab under the Labor & Delivery section of Mobile Doula. This tab is used to chart admissions and discharging of clients. It is also used to measure the length of labor which is displayed in the birth summary tab.

Labor Flow

After admitting the mom under the Admissions tab you can tap on the Labor tab and begin charting their labor.

Adding a Labor Flow entry

To add a new labor flow entry, press the "add labor flow" button on the toolbar. The Labor Flow form shown in this screenshot completely changes based on what "labor status" option is selected. The screenshots here show what the form looks like for the "active" and "delivered" status options. There are five different status options that can be chosen which include "1st Stage - Early", "1st Stage - Active", "Membranes Rup.", "2nd Stage" and "Delivered".

Newborn details

Once baby is born the newborn tab is used to enter APGARS and details such as their name, gender, weight, medications administered and their feeding status.

Additionally you can attach a photo of the birth for medical purposes here in a very safe and HIPAA compliant manner. Taking a photo from within Mobile Doula will not allow the photo to go outside the app to the camera roll or photo stream. Any photos taken in Mobile Doula, stay in Mobile Doula, and are encrypted and secured by your account name, user name and password.

Immediate Postpartum

Once baby is born the IPP tab will be used to chart the remaining birth events. When adding a Mother Immediate Postpartum record one of the following status will be selected which will drive what the rest of the form looks like: 3rd Stage, Placenta Delivered, 4th Stage, Laceration Details and Discharge.

Birth Summary

This is the tab that brings together all of the key points of the birth. Everything on this screen including the labor duration summary section is automatically populated for you based on all the previous entries made in the Admissions, Labor, Newborn and IPP tabs.

Postpartum Tab

This is where as a Doula you would record your postpartum visits with the client to review the birth, assess mom emotionally and potentially recommend a lactation consultant or other treatments.

Adding Maternal Postpartum Visit

The postpartum visit form operates in much the same way as the prenatal visit form does. You can mark off reminders in the Postpartum reminder subcategory, add bill codes and document your discussions, therapy or feedback provided by the client.

The visit location field allows you to choose from Home, Birth Center, Office, Hospital, Phone, Email, Text or Other. This allows you to document text message, email or voice conversations so that the client's whole story is organized in one secure place.

Printing, Faxing and Emailing Client Records

Located at the top of every screen on the toolbar is a button that has a box with an arrow coming out of it (shown on left screenshot). This button allows you to export data from the client record to an email, printer or password protected PDF by pressing the Email, Print and Open In buttons respectively as shown in the screenshot. If you have a HelloFax.com account you can email this export to [faxnumber]@hellofax.com and your client record will be faxed!

After the Email, Print or Open In button is pressed the "Export Data" screen will appear. This screen allows any part of the client record to be exported. Triple tap anywhere on the screen to go into "Advanced" mode where you can make even more detailed choices.

Exporting data

This screenshot shows how professional your exported client record will look. It includes a page header and footer and well formated body content that Mobile Doula arranges specially just for printing. The header includes your company name, client name, EDD or delivery date, client record number and page number.

Note, any comments you place in [brackets] will not be included in these exports. Take advantage of this feature when typing comments that are too personal to share with other doctors for consults or transfers.

Attach document to prenatal visit, postpartum visit or ultrasound

On nearly every from in Mobile Doula is an "attach documents" field. Pressing Yes on this field will cause an "Add document" button to be displayed. Pressing that button will cause a popup to appear with options to "Take Photo" or "Select Document or Photo" which then allows you to select a document or photo that is already attached in the client's Document folder.

Tasks Feature

The new Tasks feature can give you peace of mind by helping you never forget important tasks. With the tasks features you can create a task and assign it to yourself or a staff member. You can choose to have it displayed in the Core Client Information box and also have it popup whenever you open the client record or even a specific tab such as the prenatal tab. The task will follow a workflow such as New, In Progress, Waiting for Sign Off and Completed. That task can have a due date or be open ended. All outstanding tasks can also be viewed for ALL clients from the main task tab on the home screen.

Notes

Notes are like tasks without a due date or workflow. Notes are great for placing important bits of information such as who the client's doula or IBCLC is, or what birth preferences they may have such as "Dad must cut cord". The "show as popup in" field can be set to IPP, if you want the note to popup when you open the IPP tab. Notes can also be used for logging text messages, emails or phone conversations.

Client Billing

The billing tab tracks clients charges, current balance, payments, next due date and more.

View all client balances and tasks

The main Billing tab shows all clients with a balance. Past due payments are highlighted in red.

The practice-level Tasks tab shows all outstanding tasks, who they are assigned to, status and more.

Customizing Reminders

The reminders feature described earlier can be customized here in the Settings->Prenatal Reminders tab.

Managing Users

All Mobile Doula plans come with at least 3 user accounts. This is because we encourage Doulas to use separate accounts for their students and assistants. Doing so makes it easier to track who charted which records. Users can be added, edited or inactivated using this tab. Passwords can be changed and privileges can be modified also.

Account settings

Account settings are modified here. The default calendar can be set, and many other options can be modified to change how the forms look and what fields appear.

Data security and synchronization

Mobile Doula automatically synchronizes your data with the Mobile Doula cloud and other iPads, iPhones or Macs in your practice every five minutes when a Wi-Fi connection is available. This feature also serves as a data backup service. If your iPad is lost, stolen or falls in a birth tub without a waterproof case then you can easily login from any other iPad. You can even borrow your client's iPad if they have one, download the free Mobile Doula app from the appstore and login to your account.

Client Portal

The Mobile Doula web-based client portal is accessible from any computer/device. Every account has its own unique URL that new clients can go to and fill out their paper work prior to the first in-person visit. Once the client completes their paperwork from the comfort of their own home, their record will automatically appear on your iPads, iPhones and/or Macs and you will receive an email notification.
